AI Workflow Automation

We install AI into the workflows your company already runs — reading, classifying, routing, and drafting inside your existing systems, with people approving what matters.

The foundation

What an AI-assisted workflow actually is

Not a chatbot bolted onto the side of your business — one of your existing processes, with AI installed at the steps where people currently read, retype, sort, and draft.

Quote handling, order intake, request triage — the process, the systems of record, and the accountability stay exactly where they are. What moves to software is the repetitive interpretation work in between.

The workflow stays yours. The repetitive reading, retyping, and routing moves to software — with people approving what matters.
  1. 01

    A trigger starts the run

An email arrives, a document is uploaded, a form is submitted, or a record changes in one of your systems.

  2. 02

    AI interprets the input

The system reads the message or document and extracts the details your process needs — names, amounts, dates, intent.

  3. 03

    Rules and checks apply

Validation, thresholds, and business rules decide what happens next — and which cases need a person.

  4. 04

    Your systems are updated

Records are created or updated in the tools you already use, so nothing lives in a separate AI silo.

  5. 05

    People approve what matters

Drafts wait for sign-off, exceptions are escalated, and every step is logged and inspectable.

An honest distinction

Rules-based automation vs AI — and when you need neither

AI is one tool in the box, not the answer to everything. Part of every installation is deciding which steps need it — and which don't.

When plain automation is enough

If a step follows fixed rules on structured data, a plain integration is cheaper, faster, and easier to maintain. When that is the right answer, we build it that way and say so.

  • Moving structured data between systems on a schedule
  • If-this-then-that rules that never need interpretation
  • Notifications, reminders, and status updates
  • Calculations with clearly defined inputs

Where AI earns its place

AI is worth installing where the input is messy, worded differently every time, or needs the kind of judgment that used to require a person reading it.

  • Unstructured input — emails, documents, call notes, free text
  • Content that must be understood, not just moved
  • Categorizing and prioritizing where the rules are fuzzy
  • Drafting output a person reviews rather than writes from scratch
And some processes shouldn't be automated at all. Where volume is low, stakes are high, or every case is genuinely different, we'll tell you that keeping a person on the step is the better system — that recommendation is part of the work.

Capabilities

What we install inside a workflow

Five building blocks, combined and configured around your process — never a generic tool dropped on top of it.

Information extraction

Pulls structured details — contacts, order lines, amounts, dates, references — out of emails, PDFs, and free-text forms, ready for your systems.

Classification

Sorts incoming items by type, topic, urgency, or department, so work arrives pre-sorted instead of sitting in a shared inbox waiting for triage.

Decision support

Prepares the context a person needs to decide — summaries, relevant history, flagged discrepancies — without deciding for them where it shouldn't.

Task routing

Sends each item to the right queue, person, or system based on what it contains, with explicit rules for anything ambiguous.

Document generation

Drafts quotes, replies, summaries, and internal documents from your data and templates, queued for review before anything is sent.

Not sure which of these fits your process? An AI Opportunity Audit maps your workflows and shows where these blocks apply — and where they don't.

Integrations

Installed into the systems you already run

An automation that lives outside your stack just creates another inbox to check.

We connect workflows to the tools your team already works in, through the interfaces those tools support — APIs, webhooks, email, and file exchange. Typical connection points include:

  • Email & shared inboxes
  • CRM
  • ERP & accounting
  • Helpdesk & ticketing
  • Document storage
  • Spreadsheets & databases
  • Calendars
  • Internal tools
  • No rip-and-replace

The workflow reads from and writes to your existing systems of record. Your team keeps working where they already work.

  • Access on your terms

Each installation is built to the security, access, and approval requirements defined for that implementation — the workflow works within them, not around them.

  • Built on supported interfaces

We connect through documented APIs, webhooks, and supported exchange methods, so an update on either side doesn't quietly break the workflow.

  • Safe when something is down

If a connected system is unavailable, work queues and people are notified — the workflow is designed so items don't disappear silently.

Control

People stay in charge of what matters

Every installation defines, step by step, what AI may do on its own and what waits for a person. Control is a design decision, not an afterthought.

Draft only

AI prepares, a person decides

The system drafts the reply, the entry, or the document — and nothing moves until a person reviews and approves it. This is the default for anything customer-facing or financial.

Checked actions

AI acts within defined limits

Routine cases proceed automatically, while anything outside agreed limits — unusual amounts, missing data, low confidence — is held for approval before it goes anywhere.

Escalation

Exceptions go to a named person

Anything the system cannot confidently handle is routed to a named person with full context attached, rather than guessed at. Recurring exceptions are then designed into the workflow.

Where the thresholds sit is decided with you during design — and tightened or relaxed over time as the system proves itself on real work.

After launch

Launch is the midpoint, not the finish

A workflow that isn't watched degrades quietly. Every installation includes monitoring, and the first weeks of live use shape the second version.

Run visibility

Each run is logged — what came in, what the system did, what was approved — so behavior stays inspectable rather than becoming a black box.

Alerts on failure

Failures and stuck items raise alerts to us and to your team, instead of waiting to be discovered days later.

Quality review

We review samples of live output with your team — accuracy, tone, edge cases — and adjust prompts, rules, and thresholds accordingly.

Ongoing improvement

Recurring exceptions get designed into the workflow, and the installation expands only once the current step is stable.

Illustrative workflows

What an installation can look like

Three example installations. Your process, systems, and approval rules will differ — these show the shape of the work, not a promise of outcomes.

Example installation

Inbound email to structured CRM record

For teams whose inquiries arrive as free-text email and end up retyped into the CRM — or never entered at all.

  1. 01

    Inquiry arrives

A new email lands in the shared sales inbox.

  2. 02

    Details extracted

Contact, company, need, and urgency are pulled from the message.

  3. 03

    CRM updated

A record is matched or created and updated — no retyping.

  4. 04

    Reply drafted

A tailored draft waits in the queue for a person to review and send.

Human checkpoint: A person approves every outgoing reply; unclear inquiries are flagged for manual handling instead of being guessed at.

Example installation

Order documents to ERP entries, with review

For companies that receive orders as PDFs and spreadsheets which someone keys into the ERP by hand.

  1. 01

    Document received

A purchase order arrives by email or upload.

  2. 02

    Line items read

Products, quantities, prices, and references are extracted.

  3. 03

    Checks applied

Entries are validated against catalog and price data; mismatches are flagged.

  4. 04

    Queued for posting

Clean entries wait for a reviewer's approval before posting to the ERP.

Human checkpoint: Nothing posts to the ERP without review; flagged mismatches go to a named person with the original document attached.

Example installation

Incoming requests, categorized, routed, and tracked

For operations and support teams where requests arrive through several channels and triage eats the day.

  1. 01

    Request captured

Email, form, and portal requests land in a single queue.

  2. 02

    Categorized

Each request is assigned a type, an urgency, and an affected area.

  3. 03

    Routed

Requests go to the right team or person with context attached.

  4. 04

    Tracked

Status and waiting time stay visible; stalled cases are escalated.

Human checkpoint: Ambiguous requests are escalated to a person rather than guessed; routing rules are reviewed against real cases after launch.
