What gets installed

A phone line that handles the routine, so your team handles the rest.

A voice agent installation is not a generic answering bot. It is a system connected to your calendar, CRM, and knowledge base, with a defined brief for what it may handle alone and what goes to a person.

The agent works from your approved information and your rules — nothing improvised, nothing off-script on sensitive topics.
  • Answers inbound calls

The agent picks up when your team is busy, on another call, or off the clock — so inquiries reach a useful conversation instead of voicemail.

  • Answers common questions

Opening hours, services, availability, policies — answered from an approved knowledge base you control, not from anything the model happens to know.

  • Collects caller information

Name, callback details, and the reason for calling are captured in a structured form your team can act on — not scribbled from a voicemail.

  • Qualifies inquiries

The agent asks the qualification questions you define, so your team opens each conversation knowing what the caller needs and how urgent it is.

  • Books appointments

Connected to your calendar or booking system, the agent offers real open slots, books the chosen one, and confirms it with the caller.

  • Routes calls

Calls reach the right person or department based on rules you define — by topic, language, urgency, or office hours.

Approved outbound follow-up

Outbound calls only where you've approved them.

Outbound calling is scoped, not open-ended. Every outbound use case is defined and approved by you before it is installed — the agent only makes calls your business has a legitimate reason to make.

Where outbound fits

  • Appointment confirmations and reminders ahead of booked visits
  • Returning missed calls and requested callbacks
  • Following up on open inquiries the caller started
  • Rebooking no-shows and rescheduling when plans change
  • Status updates your customers have asked to receive

What we do not install

  • Cold-call campaigns to purchased or scraped lists
  • High-volume automated sales blasts
  • Calls that conceal the agent is automated where disclosure is required
  • Contacting people who have opted out or asked not to be called

Voice follow-up works best alongside written follow-up on the same pipeline — see the AI Sales & Follow-Up installation for how the two connect.

After the call

The call ends. The work it creates is already done.

Most of the value of a voice agent shows up after the caller hangs up — in the records, updates, and tasks that would otherwise be typed up by hand or lost.

Call summaries

Every handled call produces a short, structured summary — who called, what they needed, what was agreed.

Transcripts

Where recording and transcription are enabled for your installation, full transcripts are filed and searchable.

CRM updates

Caller details, call outcomes, and booking changes are written into your CRM — no retyping from notes.

Follow-up tasks

When a call needs a human next step, a task is created and assigned so the follow-up doesn't rely on memory.

Human transfer

Sensitive conversations go to people. By design.

A voice agent should know the limits of its brief. Escalation is not a failure state — it is a defined part of every installation, agreed with you before launch.

When the agent hands over

  • The caller asks for a person — the agent hands over, it doesn't argue
  • Complaints or emotionally charged conversations
  • Topics you define as sensitive: billing disputes, cancellations, health or legal matters
  • Anything outside the agent's brief, or where it isn't confident in the answer

What your employee receives

Transfers arrive with context: who is calling, what they need, and what has already been said or collected. The handover is designed so callers don't have to start over — and your team doesn't pick up blind. Outside office hours, the agent books a callback instead and creates the task for it.

Monitoring and quality

Launch is the start of supervision, not the end of the project.

Voice agents talk to your customers. That is exactly why they are monitored — with defined reviews, tracked escalations, and a clear owner on your side.

  • Conversation review

A sample of summaries — and transcripts, where transcription is enabled — is reviewed regularly to check tone, accuracy, and adherence to the brief.

  • Escalation tracking

How often the agent hands calls to people, and why. Rising escalations on one topic usually mean the knowledge base or the brief needs an update.

  • Knowledge updates

Questions the agent couldn't answer feed back into the approved knowledge base, so coverage grows from real calls rather than guesswork.

  • Defined ownership

A named person on your side supervises the agent. Who reviews, who approves changes, and who to contact is documented and agreed before launch.

  • Tuning after launch

Greetings, routing rules, qualification questions, and booking behavior are refined based on how real callers actually use the line.

Monitoring and improvement are built into every installation — the same structured process that covers audit, build, testing, and training also covers what happens after launch.

Consent and recording

Automated disclosure

The agent discloses that it is automated where disclosure is required, using wording you approve — callers are never misled into thinking they're speaking with a person where the rules say otherwise.

Recording follows local rules

Call recording and transcription are configured to follow the notice and consent laws that apply to your location and use case. Requirements differ between jurisdictions, so nothing is switched on universally — it is a per-installation decision.

You control retention

Recording can be limited to specific call types or disabled entirely. What is stored, where it lives, and how long it is kept are defined as part of the installation.

AI Installer does not provide legal advice. Disclosure, recording, and retention settings are implemented to the requirements you define with your own advisers, for the jurisdictions and use cases that apply to your business.

Illustrative example

Example call flow

One inbound call, end to end

One possible implementation — an illustration of how a configured agent could handle a real inbound call, not a fixed script. Your installation is designed around your calls, systems, and rules.

  1. 01

    Call answered

The agent greets the caller in your company's name and discloses that it is automated where required.

  2. 02

    Reason captured

The caller wants to move Thursday's appointment. The agent confirms their name and callback number.

  3. 03

    Question answered

The caller also asks about parking. The agent answers from the approved knowledge base — and says so if it doesn't know.

  4. 04

    Appointment rebooked

The agent checks the connected calendar, offers two open slots, books the chosen one, and sends a confirmation.

  5. 05

    Sensitive topic, human transfer

The caller raises a billing dispute. During office hours the agent transfers to an employee with a summary of the call so far; outside hours it books a callback.

  6. 06

    After-call work

The summary and updated details land in the CRM, a follow-up task is assigned for the billing question, and the transcript is filed where transcription is enabled.

Put a dependable voice on your phone line.

An installation begins with how your phone line works today — which calls the agent should answer, which go to your team, and the rules that govern both.
